Medical Secretaries/Unit Secretary

Medical secretaries or unit secretaries support the success and efficiency of a health facility. They represent the physicians they work with by providing administrative duties such as screening and sorting mail and documents, making and taking phone calls, and billing patients. They also schedule patient appointments, create referrals, and look over account processes. Their medical knowledge allows them to review patients’ histories, prepare medical reports, and maintain patient records.

Job Responsibilities

• Represent physicians by screening incoming calls, messages, referrals, appointments, and consultations
• Maintain productivity of physicians and overall healthcare facility with appointment, meeting, and conference scheduling
• Collect patient information through transcriptions, note taking, and ongoing medical projects
• Obtain insurance verification and authorization and collect copays
• Complete patient and third-party billing
• Explain office procedures and get patients ready for their appointment
• Maintain, enter, and protect patient records under the facility’s regulations and standards
• Support the efficiency of the facility by maintaining office supply inventory, checking stock, placing orders, and verifying receipts
• Troubleshoot breakdowns with office equipment and calls for repairs when necessary

Skills and Qualifications 

• Minimum high school diploma or equivalent preferred
• Basic understanding with medical terms and common medications
• Proficiency with computers and common software, such as Microsoft Office
• License may be required
• Excellent customer service skills
• Strong written and verbal communication skills
• Highly organized with the ability to handle multiple tasks concurrently
